It may still be summer, but we are already thinking about December’s annual holiday auction!

Chapter members, vendors, and anyone interested in supporting our mission is encouraged to help gather donations for this great event, supporting our educational scholarships! 

Below is a sample letter you can send to businesses. Feel free to customize the message, and be sure to include your name and contact information at the bottom of the letter. You can also donate hand-crafted items and artwork (popular in past years’ auctions).

And be sure to mark your calendars for the Holiday Auction on December 10, 2019!

Donation Tips:

  • Start sending letters for donations now, between August and October 14, 2019. (Budgets are usually done around October, and businesses need the letters in order to budget for donations!)
  • Ask places you visit regularly – such as your hair dresser/barber, grocery store, florist, restaurants, business districts, etc.
  • Follow up with businesses in November 2019.
  • Have donations ready by December 9, 2019.
  • And be sure to invite your friends, family, and coworkers to the annual auction on Wednesday, December 10, 2019!

A Fresh Look at Email Management

It has been approximately 20 years since email became part of our work lives. And 20 years later, we are still trying to find an effective yet easy way to manage it. As we “celebrate” the anniversary of this ubiquitous communication and record-creating technology, now is a good time to ask two records management veterans of the email battle to discuss some of the latest approaches.

Barbara and Jeff Benson will discuss two new techniques (not software-dependent) for managing email. Jeff will talk about the “Capstone” approach that is being implemented in some Federal agencies. Barbara will describe an initiative at the University of Washington that focuses on educating and empowering users to take steps toward controlling the chaos that is a typical email account.

Jeff Benson is currently at the National Archives and Records Administration/Pacific Alaska Regional Office in Seattle, where he has been a Senior Records Analyst for over 19 years.

Starting in records management in the early 1980’s, Mr. Benson’s previous experience includes Regional Records Officer contractor at the Seattle office of the EPA; as well as archival/records management responsibilities in the private sector (Weyerhaeuser Company), state government (New York State), and municipal government (New York City). Throughout his career, he has been active in local chapters and committees of the Association of Records Managers and Administrators (ARMA). Mr. Benson has conducted a wide variety of records-related workshops over the years, as well as many presentations at professional association conferences and meetings.

Barbara Benson has been the University Records Officer and Director of the University of Washington Records Management program since 1992. Ms. Benson received a graduate degree in History/Archival and Records Management from New York University. She has worked as either Archivist or Records Manager in such diverse arenas as not for profits, banking, city government, state government, and higher education.

Ms. Benson is a frequent speaker at ARMA (Association of Records Managers and Administrators) conferences and meetings, at the Northwest Clerks Institute and for other organizations and institutions interested in managing data and information.

We have all heard the saying: “Prevention is better than cure” and the saying applies in the world of cybersecurity.

Security professionals have become really good at preventing attacks using technology and organizational policies but the human element has largely been underserved. This is particularly disconcerting when you add in the fact that most hacks and/or breaches are initiated with some form of social engineering.

We are going to take a look at some prevailing social engineering techniques and how to defend against them.

Utchay Okorie, CISSP, CCNA Security is the Information Security Program Manager for Mutual of Enumclaw Insurance where he establishes the enterprise vision and strategy of the Security Program in order to protect the people, information assets and technologies of Mutual of Enumclaw. Mr. Okorie previously worked with the WA State Auditor’s Office as the Senior Information Security Analyst which entailed managing the WA State Auditor’s Office as well as auditing State Agencies against the security posture framework created by the Office of the Chief Information Officer. Mr. Okorie graduated from the University of Washington with a Master’s degree in Cybersecurity and Leadership and is an avid poker player.

Learn how to adapt it such that any modern recordkeeping software can successfully load and apply your retention schedule. Understand the structure and characteristics the software needs to see in your schedule, and leverage exciting new software capabilities to make your retention schedule more flexible and powerful than you ever thought possible.

This is a highly interactive workshop based on a hypothetical 1000-person organization. Participants work in teams of 3 to make critical project decisions at various points, each of which are then evaluated. You complete several rounds of team exercises, where you apply your new skills to complete prescribed exercises to build the elements of the retention schedule.

Mr. Miller is a world leading expert on electronic recordkeeping. He is an independent consultant, author, and an educator. Widely regarded as the inventor of modern electronic recordkeeping software, he has authored two books on recordkeeping for Microsoft SharePoint, holds an award of distinction from IBM, and is an Emmett Leahy Award winner. He assists organizations in the design, development, acquisition, and implementation of electronic document and records management solutions.

Ephemeral and Self-Destructing Records in the Emerald City & Beyond

Just when you thought you have finally figured out how to accomplish email archiving for the enterprise, dozens of new forms of electronic messaging applications are now widely available to end-users as a means of communication about official corporate and government business. These new apps are creating vexing recordkeeping, compliance and governance issues that need to be urgently addressed.

Let’s take a journey down the yellow brick road to discover a world of “shadow IT,” short-lived communications technologies, and what constitutes best practices in dealing with them from a records and information governance perspective.

Mr. Baron serves as Of Counsel in the Information Governance and eDiscovery Group at Drinker Biddle & Reath LLP in Washington, D.C. Between 2000 and 2013, he served as the first appointed director of litigation at the US National Archives and Records Administration, and before that as a trial lawyer and senior counsel for a dozen years in the Federal Programs Branch of the Civil Division of the Department of Justice. In those capacities, Mr. Baron played a leading role in the government’s adoption of electronic recordkeeping practices and acted as lead counsel in landmark cases involving the preservation of White House email. He is a former outside director on ARMA International’s Board of Directors, and a former member of ARMA’s IGP certification board. He also has been chair of the D.C. Bar E-discovery & Information Governance committee, and currently serves as a member of the advisory board of the Georgetown Advanced Ediscovery Institute and the Cardozo Data Law Initiative. He is the lead editor of the book, Perspectives on Predictive Coding, And Other Advanced Search Techniques for the Legal Practitioner (2016), has written over 90 published articles on subjects related to e-discovery and information governance, has been an editor-in-chief of three Sedona Conference commentaries, and has made over 500 presentations worldwide.

In addition to awards during his time in public service from the Department of Justice, the Archivist of the U.S., and the National Security Council, Mr. Baron was the 2013 recipient the Justice Tom C. Clark Outstanding Government Lawyer award, given by the Federal Bar Association, and the 2011 winner of the international Emmett Leahy Award for his career contributions in records and information management. He was prominently featured in the documentary The Decade of Discovery (2014), which tells the story of a government lawyer seeking a better way to search for White House email. The American Lawyer Magazine named him one of six “e-discovery trailblazers” in its 2013 issue devoted to “The Top 50 Big Law Innovators of the Last 50 Years.”

In connection with electronic recordkeeping controversies, Mr. Baron has appeared on NBC News, Good Morning America, MSNBC, CNN, and NPR’s All Things Considered, and has been quoted in the New York Times, Wall Street Journal, Washington Post, TIME Magazine, and numerous other media outlets. He received his B.A., magna cum laude with honors, from Wesleyan University, and his J.D. from the Boston University School of Law.

The Puget Sound Chapter of ARMA International is pleased to announce there are two scholarships available for current members to attend the Tri-Chapter Seminar on June 7, 2019, in Tukwila.

To be considered, please submit a one-page document by May 1, 2019 to the Chapter by email with your name, organization, and reason for your interest in attending the Tri-Chapter Seminar. You may also include chapter engagement this year such as attendance at programs, support for the holiday auction, committee engagement, and/or serving on the chapter board.

Volunteer Opportunity: Seeking a Treasurer for the ARMA Puget Sound Chapter

Volunteering is a great way to gain leadership experience and boost your resume. The ARMA Puget Sound Chapter is looking for a chapter member to take on the duties of Treasurer for the remainder of our chapter year (term ends June 20, 2019).

Some of the specific duties are:

  • Balance accounts (in Quicken) and record all transactions in the budget;
  • Review and produce monthly statements ;
  • Pay all bills and reimburse members;
  • Transfer PayPal funds to bank account (monthly);
  • Prepare end of chapter year budget documents and next year’s budget;
  • Participate in Chapter Board meetings (monthly, prior to regular chapter meetings).

Current treasurer activities are up to date; past volunteers can help answer questions as you learn the ropes!

Use data mapping to become an Information Superhero!

Data mapping has been considered an IT domain for many years.  While the name suggest data, it is really about mapping, qualifying, and quantifying information inputs and outputs to an organization. For RIM professionals, data mapping is a powerful tool to understand the creation point of a record.

The information gathered allows for the application of retention, disposition, and information handling functions to be applied to business functions. This allows for the development of the tools needed for system integration or automation of recordkeeping standards. When done the right way, RIM professional unlock their importance in managing an organization information assets and become Information Superheroes!

Important concepts: assessment/inventory, metadata, taxonomy, defensible disposition, records creation, and discovery.

Presenter: Bruce Wirth, CRM, Washington State Department of Health.

Bruce is a retired U.S. Army veteran who served at every level of the Department of the Army, starting his career as a Records Specialist in the early 1990s. In 2013, he was appointed Records Manager of the Joint Chiefs of Staff for three years where he completed the Certified Federal Records Manager Course. He recently completed his CRM and plans to test for the CIP soon. Bruce currently works for the Washington State Department of Health as their Records officer.

Bruce has experience in ECM design and maintenance, taxonomy and metadata development, and system analysis. He is strongly motivated to assist other records professional in modernizing records and information management to meet the future demands place on our profession.
